From Individual Requests to Streamlined Project Management

Since the very first edition of METAVAK, Jan van Dam Machine Transport has handled the logistics for the trade show. A few years ago, Easyfairs asked us to also manage exhibitor requests directly through Jan van Dam. Previously, registrations were submitted via the Easyfairs platform. Now, we proactively reach out to participants early on to identify their needs. This ensures even better preparation and planning, with short communication lines and clarity for everyone involved.

The exhibition organizer notes that working with Jan van Dam saves them a great deal of coordination and effort. Because the preparation is tightly organized and communication is clear, everyone stays on top of things. Jan van Dam knows exactly what it takes to make an event of this scale run smoothly.

Thorough Preparation and Clear Overview

Months before the start of the event, the Jan van Dam project manager contacts all exhibitors. We collect information on which machines will be exhibited and where they need to be picked up and returned. Based on the exhibition layout and floor plan, we create an efficient time schedule for both setup and teardown. From this information, we produce a complete operations plan — including pickup times, transport schedules, and placement sequences.

The machines are collected from factories, showrooms, and warehouses using Jan van Dam’s trucks — with several of these trips carried out using electric vehicles. On the exhibition floor, two truck-mounted cranes, five forklifts, and Jan van Dam’s specialist team are on-site to position the machines precisely at each stand. The setup takes three days, while teardown is completed in one.
